Suddenly the order that should feel like a win has you watching your bank balance nervously — not because the business isn't profitable, but because of cashflow timing.
Profit is what's left over on paper. Cash is what's in your bank account to pay wages, suppliers and the ATO. The trap is that cash rarely arrives exactly when it's earned. So, what can you do?

1. Prepare a forecast on a rolling basis – your cash flow forecast tells you what is coming
A 4–13 week rolling forecast is your early warning system - update weekly.
A 12-month forecast helps you to make confident, bigger decisions like hiring, a new lease, or a big seasonal order - update monthly.
For the full picture, pair your cash forecast with a forecast Profit & Loss and Balance Sheet — a "three-way forecast." It shows what's actually driving the movement in your cash.
2. Know your key drivers
Debtor days is how long customers take to pay you. This is usually the biggest cash flow lever in your business.
Creditor days is how long you take to pay suppliers. Is there room to negotiate?
Cash conversion cycle is the gap between paying for stock or labour and getting paid by your customer. A shorter is better.
3. Build habits that protect your cash position
Issue invoices and follow up on overdue ones promptly.
Negotiate payment terms with your suppliers that better match your own cash cycle instead of accepting default payment terms.
Match staffing to your revenue pattern if your business is seasonal
Keep a cash buffer — a buffer of even 2–4 weeks of operating expenses takes the panic out of a slow month.
4. Watch out for early warning signs. These could be:
Slipping margins
Growing overdraft reliance
Overdue customer invoices
Needing more time from suppliers
